Getting started

What is TagOrbit?

TagOrbit is a web application that helps a company track what it owns, who holds it, what it needs and when. It works for companies of any industry. You keep your machines, laptops, vehicles or cameras in one place. The people and companies you deal with are there too, and so are the things that happen, such as rentals, purchases and services. Everything that is due appears in one list, Needs attention. TagOrbit runs in the browser on computers, tablets and phones, so there is nothing to install.

Who is TagOrbit for?

TagOrbit is for companies of any industry that need to know what they own, who holds it and what it needs. Example setups from the AI include construction, IT inventory, car rental, camera and kit hire, and restaurants. Others are electrical contractors, farms, gyms and studios, property rentals and clinics. These are examples, not limits. You describe your own business in one sentence, and TagOrbit proposes a setup for it. You can then invite your team by e-mail.

How do I set up TagOrbit for my business?

You describe your business in one sentence, and TagOrbit proposes a setup for it.

  1. Write one sentence about what your company does.
  2. TagOrbit proposes categories, fields, alerts and departments.
  3. You keep, rename or delete each proposal.

For a construction company, for example, it proposes machines, engine hours, fuel tanks, operators, a 500-hour service and spare parts. Nothing changes until you decide. You can also start from one of 14 ready-made starter setups, or from a blueprint that another company published in the gallery.

Do I need to install anything to use TagOrbit?

No. TagOrbit runs in your web browser on computers, tablets and phones, so there is no app to install. You do not need your own server either: the application and its database run on servers in Nuremberg, Germany. You open TagOrbit in the browser, sign in, and your company's records are there on any device. To add a colleague, you invite them by e-mail.

Does TagOrbit have a mobile app?

No, there is no TagOrbit app in the app stores. TagOrbit runs in the browser on phones and tablets, the same way it runs on a computer, so you open it and sign in. On a phone, you can use the camera to scan a barcode or QR code and find the matching record. You can also print labels for your items.

Using TagOrbit

What can I track with TagOrbit?

You can track the things your company owns, the people and companies you deal with, and the things that happen. Each kind is a category:

  • things you own, such as machines, laptops, vehicles or cameras;
  • contacts, such as customers, suppliers and staff;
  • events, such as rentals, purchases and services.

Each category has its own fields. For things you own, you switch on only what fits: custody, maintenance, meters, bookings and kits. You also choose whether its items are unique, counted in stock or consumables.

How do I keep track of who has each item?

You give the item to a person or a location, and TagOrbit keeps it as custody history. Each hand-over is a dated span with a name on it, never an overwritten field. You can see who held an item and from when to when. You can set a due-back date; if the item is not back by then, an overdue alert appears. When someone leaves, one action, Return everything, returns all they hold. The Assign page shows who holds what across the company. Software licences can work as a seat pool.

How does TagOrbit remind me when something is due?

TagOrbit puts everything that is due in one list inside the application, called Needs attention. It collects dates, meter-based services, low stock, tank levels, overdue returns and ending bookings, with the most urgent first. Each row has Done and Snooze. A category you add from a proposal or a ready-made setup brings its own alerts, already switched on. There are no alert e-mails yet, so you see alerts when you open TagOrbit.

Can TagOrbit schedule maintenance by engine hours or kilometres?

Yes. You log meter readings, such as engine hours or kilometres, and TagOrbit learns how fast each item is used. It moves the service dates with that pace, for example for a 500-hour service. A date worked out this way is labelled as an estimated date and names the reading it came from. A time backstop always applies as well, so a service also comes due by date.

Can TagOrbit track stock and spare parts?

Yes. Counted items and consumables keep stock per location, with a minimum level. When stock falls below it, a low-stock alert appears in the Needs attention list. You can record what is used, transfer stock between locations and run a stock count. The Inventory page shows everything that runs out in one place, including tank levels in litres, such as fuel.

Can I manage rentals and bookings in TagOrbit?

Yes. Make a category bookable, and each of its items gets an availability timeline with check-out and check-in. Double bookings are impossible: an item booked for one time cannot be booked again for the same time. Kits, bundles such as a camera with its lenses, book all their parts together. Bookings that are ending appear in the Needs attention list. The example setups TagOrbit proposes include car rental, as well as camera and kit hire.

Can I create reports in TagOrbit?

Yes, with the report designer. You choose the source (one category, all records, assignments or services), the columns, the filters and the grouping. Each group gets a subtotal, the report gets a grand total, and you can group on two levels. You can export a report to CSV, Excel or PDF, with paper size, margins and orientation, or print it. AI can also turn a plain question into a report, and new companies get starter reports.

Can I import my existing spreadsheets into TagOrbit?

Yes. You can import CSV or Excel files, and you see a preview before anything is saved. TagOrbit matches your columns to its fields automatically, with help from AI, and you can change any match. For purchases, you can also drop a receipt or invoice, as a PDF or a photo. The AI reads it and fills in the fields, or turns a receipt with many lines into a purchase plus one record per item.

Can I export my data from TagOrbit?

Yes, at any time. You can export your data as CSV or Excel files, and export is available everywhere in TagOrbit. Reports can also be exported to PDF, with paper size, margins and orientation, or printed. You do it yourself, whenever you like, so you can always keep your own copy of your data.

Does TagOrbit work with barcodes and QR codes?

Yes. You can print labels for your items. Then you scan a barcode or QR code with a phone or computer camera to find the item's record. Scanning works in the browser, so there is no app to install. From the record, you can see who holds the item and its full history.

Can I see who changed what and when?

Yes. Every change in TagOrbit keeps its before and after, with who made it and when. Each record has a Story tab that shows its full timeline. Hand-overs are kept as dated spans with a name on them, so you can see who held an item and from when to when. When a value changes, the old value stays in the history.

The gallery is a collection of setups (blueprints) that companies have published for others to use. You can start from one that fits your kind of business. Only the structure travels, never anyone's data, and every publication is checked before it appears. Besides the gallery, TagOrbit ships 14 ready-made starter setups, and the AI can propose a setup from one sentence about your business.

AI in TagOrbit

What does the AI in TagOrbit do?

AI in TagOrbit makes proposals that you check. It never changes your data by itself. It can:

  • propose categories, fields, alerts and departments from one sentence about your business;
  • read a receipt or invoice and fill in the fields;
  • match the columns of a file you import;
  • turn a plain question into a report;
  • propose extra fields for sub-types;
  • draft every screen text when your company adds a language.

There is a daily usage limit per company.

What data does the AI in TagOrbit see?

Only what the feature needs. TagOrbit's AI features run on our server, which sends that part to Anthropic's Claude to produce the answer. That might be your one-sentence description, a receipt, the column names of an import or a report question. Nothing else is sent with it. The answer comes back as a proposal, and the AI never changes your data by itself.

What if the AI gets something wrong?

You can correct it, because the AI never changes your data by itself: you see what it proposes, and you decide. In the setup, you keep, rename or delete each proposal. In an import, you see a preview before anything is saved, and you can change any column match. In the translator, your company checks and corrects every screen text. And every saved change keeps its before and after, with who made it and when.

Price and account

How much does TagOrbit cost?

TagOrbit costs €22 per user per month. Every feature is included. There is no limit on records and no extra charge per item. The price depends on how many people use TagOrbit, not on how much you track. Creating an account is free. The TagOrbit pricing page has the details.

Does it cost anything to create a TagOrbit account?

No, creating an account is free. You can create an account with your e-mail address, and TagOrbit sends you a confirmation. Using TagOrbit costs €22 per user per month, with every feature included and no limit on records. If you have a question about the price, write to info@tagpulse.ai.

Your data and security

Where does TagOrbit store my data?

Your data is stored in Germany, inside the European Union. The application and its database run on servers of Hetzner Online GmbH in Nuremberg. Traffic reaches the servers through Cloudflare, which runs the domain name service and an encrypted tunnel, and every connection uses HTTPS. Account e-mails, such as confirmations and invitations, are sent through Resend. AI features send only what they need to Anthropic. Backups are made every day.

How does TagOrbit keep my data safe?

TagOrbit protects your data in several ways: separation inside the database, roles, a log of every change, encrypted connections and daily backups. Every company's data is kept apart from every other company's by rules inside the database itself, called row-level security, not only by the application. Roles limit who can change what, and every change is logged with its author. All connections use HTTPS, and the servers are in Germany. Two-factor sign-in is not available yet. Read how TagOrbit protects your data.

Can I control what each person in my team can do?

Yes. Each person has one of three roles. An Admin can do everything, including categories, form design, the team and company settings. An Editor adds and edits records, alerts and reports, but cannot change the setup or the team. A Viewer sees everything and changes nothing. You invite people by e-mail, and each person belongs to one company. Every change is logged with its author.

Does TagOrbit back up my data?

Yes, every day. Daily backups are kept for 14 days, and weekly backups are kept for 90 days. We also keep one backup from the first day of each month; these monthly backups do not have a set end date yet. Every change is also kept in each record's history, with its before and after. You can make your own copy at any time, too: export your data as CSV or Excel files from anywhere in TagOrbit.

How do I delete my TagOrbit account and data?

Send an e-mail to info@tagpulse.ai and ask for your account and its data to be deleted. There is no self-service delete button yet. This address serves both of the company's products, TagOrbit and TagPulse. Before you ask, you can export your data as CSV or Excel files, so you keep your own copy.

Does the GDPR apply to my data in TagOrbit?

Yes. TagOrbit is made by a company established in Greece, and your data is stored in Germany. Both are in the European Union, so the GDPR applies. You can export your data at any time and ask for its deletion by e-mail. This website sets no cookies and runs no analytics or advertising trackers. The privacy policy and the data processing agreement give the details. The supervisory authority is the Hellenic Data Protection Authority.

Languages and regions

Which languages is TagOrbit available in?

The TagOrbit application is available in English and Greek, and this website in six languages: English, Greek, Bulgarian, German, Italian and Spanish. A company can add any other language to the application with the built-in translator. The AI drafts every screen text, and the company checks and corrects it. Each company also sets its own currency, number and date format, and time zone.

Can TagOrbit use my currency, date format and time zone?

Yes. Each company sets its own currency, number format, date format and time zone. Amounts then appear in your currency, and numbers and dates appear the way your team writes them. The number format covers details such as whether decimals use a comma or a point. The date format sets the order of day, month and year, and the time zone sets your company's local time.
