Glossary

The words TagOrbit uses, explained in plain language.

A

Alert
A signal that something needs your attention. In TagOrbit, alerts fill the Needs attention list: dates, services, low stock, tank levels, overdue returns and ending bookings. They appear inside the application; there are no alert e-mails yet.
Artificial intelligenceAbbreviation: AI
Software that learns patterns from large amounts of data and uses them to write text or answer questions. In TagOrbit, AI proposes setups, reads receipts, matches import columns, turns questions into reports and drafts translations, using Anthropic's Claude. It never changes your data by itself: you see what it proposes and decide.
Asset
Something a company owns and uses, such as a machine, a laptop or a vehicle. In TagOrbit, assets are one of three kinds of category, next to contacts and events. An asset category can switch on extra behaviours, such as custody, maintenance, meters, bookings and kits.

B

Barcode
A pattern of lines or squares that a scanner or a camera reads to get a code. In TagOrbit, you can print labels for your items and scan a code with a phone or computer camera to find the matching record.
Blueprint (setup)
A plan you build from. In TagOrbit, a blueprint is a ready-made setup: the structure, such as categories and fields, without anyone's data. TagOrbit ships 14 starter setups, and companies publish more in the gallery.
Booking
Reserving something for a set time. In TagOrbit, items in a bookable category have an availability timeline with check-out and check-in. Double bookings are impossible, and a kit books all its parts together.

C

Category
A group of things of the same kind. In TagOrbit, a category holds any kind of record: things you own (assets), people and companies (contacts) or things that happen (events). Each category has its own fields, and categories are grouped into departments.
Comma-separated valuesAbbreviation: CSV
A plain text file format for tables: each line is a row, and commas separate the columns. Most spreadsheet programs can open and save it. TagOrbit imports and exports CSV files.
Consumable
Something that gets used up, such as fuel, oil or cleaning supplies. In TagOrbit, consumable is an item kind with stock per location, and you record what is used. A low-stock alert appears when the stock falls below a minimum level.
Contact
A person or a company you deal with. In TagOrbit, contacts are a kind of category for customers, suppliers, staff and other people or companies. Each contact is a record with its own Story tab.
Counted item
An item you track by quantity instead of one by one, such as identical cables or spare parts. In TagOrbit, a counted item keeps stock per location, with a minimum level. With assignment switched on, it works as a seat pool.
Custody
Holding and looking after something, often on behalf of someone else. In TagOrbit, custody records who or where holds an item: a person or a location. Each hand-over is a dated span with a name on it, kept as history, never an overwritten field.

D

Department
A part of a company with its own area of work. In TagOrbit, a department groups related categories together. The setup can propose departments for your business, and you keep, rename or delete them.
Due-back date
The date by which something lent out should come back. In TagOrbit, it is an optional date on a hand-over. If the item is not returned by then, an overdue alert appears in the Needs attention list.

E

Estimated date
A date calculated from data, not fixed in advance. In TagOrbit, a service date worked out from meter readings is labelled as estimated. It names the reading it came from.
Event
Something that happens at a certain time. In TagOrbit, events are a kind of category for things that happen, such as rentals, purchases and services.

F

Field
One piece of information in a form, such as a name, a date or a price. In TagOrbit, each category has its own fields, built in a drag-and-drop form builder, and almost none are required. A field can hold text, numbers, money, dates, choice lists, yes/no, links to other records and more.

G

General Data Protection RegulationAbbreviation: GDPR
The European Union law that protects personal data and gives people rights over it. It applies to TagOrbit, which is made by a company in Greece and keeps customer data in Germany.

K

Kit
A set of items that belong together, such as a camera with its lenses and batteries. In TagOrbit, a kit is a bundle that you book as one: booking the kit books all its parts together.

L

Location
A place where things are kept. In TagOrbit, locations can sit inside each other, such as a shelf inside a warehouse. You can give an item to a location, and stock is kept per location.

M

Meter
A counter that measures use, such as engine hours or kilometres. In TagOrbit, you log meter readings, and TagOrbit learns the pace of use and moves service dates with it.

N

Needs attention list
The list in TagOrbit that collects everything that is due: dates, meter-based services, low stock, tank levels, overdue returns and ending bookings. The most urgent comes first, and each row has Done and Snooze.

P

Portable Document FormatAbbreviation: PDF
A file format for documents that look the same on every screen and printer. TagOrbit exports reports to PDF, and you can drop a receipt or invoice as a PDF for TagOrbit to read.
Preventive maintenance
Servicing equipment on a schedule, before it breaks, instead of after. In TagOrbit, you plan services by date or by meter reading, such as a 500-hour service. Each one appears in the Needs attention list when it is due.

Q

QR codeAbbreviation: QR
A square barcode that phone cameras can read. QR stands for Quick Response. In TagOrbit, you can print labels and scan a code with a phone or computer camera to find a record.

R

Record
One entry of stored information. In TagOrbit, a record is one entry in a category, such as one machine, one customer or one rental. Almost nothing is required, so a record always saves, and each record has a Story tab with its full timeline.
Role
A role decides what a person may do, and TagOrbit has three: Admin, Editor and Viewer. An Admin can change everything, including the setup and the team. An Editor adds and edits records, alerts and reports, and a Viewer sees everything but changes nothing.
Row-level security
A database feature that decides, row by row, who may see or change data. TagOrbit uses it to keep every company's data apart from every other company's inside the database itself, not only in the application.

S

Seat pool
A shared number of places, such as the seats of a software licence. In TagOrbit, a counted item with assignment works as a seat pool, so many people can hold a seat. The number in use is always visible, and going over the limit is shown, never blocked.
Service record
A written note of a service or repair done on an item. In TagOrbit, a service record holds the stages of the job, the workshop or vendor, and the cost. The cost adds up into the item's total cost of ownership.
Stock
The quantity of an item you have on hand. In TagOrbit, counted items and consumables keep stock per location, with a minimum level that raises a low-stock alert. You can consume, transfer between locations and run a stock count.
Story (record timeline)
An account of what happened, in order. In TagOrbit, the Story tab on each record shows its full timeline. Every change is kept with its before and after, who made it and when.
Sub-type
A variant inside a larger type. In TagOrbit, a category can have sub-types with their own extra fields, such as vans and trucks inside a vehicles category.

T

Time backstop
A backstop is a safety limit that catches what the main check misses. In TagOrbit, a service planned by meter readings always has a time limit as well. So it still comes due by date if no new readings are logged.
Total cost of ownership
The full cost of having an item over its life, not only its price. In TagOrbit, the costs you record for services and repairs add up into each item's total cost of ownership.

U

Unique item
An item that is one of a kind and tracked on its own, often by its serial number. In TagOrbit, unique is an item kind: each record is one physical thing, such as one laptop or one excavator.

V

Value added taxAbbreviation: VAT
A tax added to the price of most goods and services in the European Union and many other countries. A company's VAT number identifies it for this tax.
